Job Description:

The Business Systems Analyst (BSA) will play a critical role in identifying, defining, and delivering high-value Microsoft 365 Copilot and Copilot Studio use cases across the organization. This role bridges business stakeholders, product owners, and technical teams to ensure Copilot solutions are aligned with business objectives, compliant with governance and risk requirements, and optimized for user adoption and measurable outcomes.

The BSA will lead use-case discovery, requirements definition, and backlog refinement for Copilot-enabled solutions, while supporting responsible AI usage, security, and change management in an enterprise Microsoft 365 environment.

Key Responsibilities:

Use Case Discovery & Business Analysis:
  • Partner with business stakeholders to identify, assess, and prioritize Copilot and Copilot Studio use cases that improve productivity, decision-making, and operational efficiency.
  • Facilitate workshops and interviews to capture current-state processes, pain points, and future-state Copilot opportunities .
  • Translate business needs into clear, well-defined functional and non-functional requirements , user stories, and acceptance criteria.

Copilot & Copilot Studio Solution Support:
  • Support the design of Copilot Studio solutions (custom copilots, topics, plugins, connectors) by clearly defining business logic, conversation flows, and data requirements.
  • Collaborate with engineers, architects, and platform teams to ensure solutions align with Microsoft 365 Copilot capabilities, limitations, and best practices .
  • Ensure Copilot solutions are grounded in approved enterprise data sources and respect data access, privacy, and security constraints.

Governance, Risk & Compliance Alignment:
  • Work closely with risk, legal, privacy, and security stakeholders to ensure Copilot use cases comply with enterprise AI usage guidelines, data handling rules, and attestation requirements .
  • Document and support required governance artifacts (e.g., use-case descriptions, risk assessments, approvals, and usage attestations).
  • Ensure Copilot is positioned as a decision-support tool , not a decision-maker, in line with internal guidance.

Product & Agile Delivery:
  • Maintain and refine the product backlog for Copilot initiatives, ensuring items are well-prioritized, actionable, and aligned to business value.
  • Support sprint planning, backlog grooming, and demos by clarifying scope, dependencies, and success metrics.
  • Define and track KPIs and success measures for Copilot adoption and outcomes (e.g., time saved, quality improvements, user satisfaction).

Adoption & Change Enablement:
  • Partner with change, communications, and training teams to support Copilot adoption and responsible usage across business units.
  • Help define user guidance, usage scenarios, and guardrails to maximize value while minimizing risk.
  • Gather user feedback and translate insights into continuous improvement opportunities.

Required Qualifications:
  • Previous experience as a Business Systems Analyst , Product Analyst , or similar role in an enterprise environment.
  • Strong experience eliciting and documenting business and system requirements using Agile or hybrid methodologies.
  • Hands-on experience with Microsoft 365 (Teams, Outlook, Word, Excel, SharePoint) and an understanding of how Copilot integrates into these tools.
  • Experience working with Copilot Studio , Power Platform (Power Virtual Agents, Power Automate), or conversational AI solutions.
  • Proven ability to work with cross-functional teams including product, engineering, architecture, security, and risk.
  • Excellent facilitation, communication, and stakeholder-management skills.
  • Background in financial services or other highly regulated environments.
  • Experience defining adoption metrics and measuring business value for digital or AI-enabled products.

EXPERIENCE & EDUCATION
  • Undergraduate degree or Technical Certificate
  • 5-7 years relevant experience
